Keep these guidelines in mind when planning your events:
- All events must be approved by the national office before you make any financial commitments.
- You are not required, nor are you expected, to negotiate with the speakers.
- You must submit receipts for all your expenses to be reimbursed.
- You must submit a Post-Event Form (PEF) within four weeks of the event to be reimbursed.
- Explore student government allowances, administrative grants, and departmental contributions for extra funding.
- AHS processes reimbursement checks the 1st and 15th of every month.
AHS Speaker Event
- Catering: Up to $250
- Publicity: Up to $50
- Pre- Or Post-Event Meal: $250-350
- AHS Speaker; Chapter President(s); Chapter Faculty Advisor; Up to four Other Chapter Officers
- We cover the AHS speaker’s honorarium, travel, and lodging.
Open House and Student Fair
- Up to $300 yearly for ALL student fair and open house events, including refreshments, publicity, and material.
Speaker Event with Professor from Your University
- Chapters are encouraged to leverage the foreign policy expertise already present on their campuses. To that end, we will reimburse up to $300 of catering for an event with a local faculty member. Must first be approved by the AHS office.
The AHS national office will not reimburse the following:
- Costs associated with group discussions and chapter meetings.
- University rental fees for a room or standard AV.
- Alcohol at university events or during meals with AHS speakers.
- Advertising in your school newspaper or any other media.
- Events at which all the speakers are faculty at your university (with the exception of the up to $300 in catering).
